The Role in A Nutshell: The Sales Assistant supports the Director of Sales & Events in driving meeting room bookings, managing sales inquiries, and ensuring seamless coordination of event-related sales efforts. This role is ideal for someone who is detail-oriented, customer-focused, and enjoys working in a dynamic environment:

Schedule/Availability: This part-time role works about 25-29 hours per week. Working hours will fall during the day Monday-Friday. Some exceptions will apply for occasional evening and weekend events, with the ability to flex time to accommodate meeting and event schedule needs.

YOUR DAILY OBJECTIVE:

The Sales Assistant supports the Director of Sales & Events in driving meeting room bookings, managing sales inquiries, and ensuring seamless coordination of event-related sales efforts. This role is ideal for someone who is detail-oriented, customer-focused, and enjoys working in a dynamic environment:

SALES & CLIENT SUPPORT:

  • Follow up with meeting room leads and assist in booking prospects.

  • Respond to event lead emails in collaboration with the Director of Sales & Events.

  • Make outbound sales calls to past clients, warm leads, and new prospects to increase meeting room bookings and event sales.

  • Organize and manage contacts in HubSpot.

SALES & CLIENT SUPPORT:

  • Follow up with meeting room leads and assist in booking prospects.

  • Respond to event lead emails in collaboration with the Director of Sales & Events.

  • Make outbound sales calls to past clients, warm leads, and new prospects to increase meeting room bookings and event sales.

  • Organize and manage contacts in HubSpot.

THIRD PARTY LISTINGS & INQUIRIES:

  • Manage and audit third-party listings to ensure consistency in photography and location details, updating as needed to maximize visibility and accuracy.

  • Respond to inquiries from third-party platforms.

EVENT COORDINATION & ADMINISTRATION:

  • Update sales pipeline stages in CRM.

  • Conduct tours when needed (if Director of Sales & Events is unavailable or attending another tour/meeting).

  • Cover the front desk as needed to greet members, assist with inquiries, and ensure a professional and welcoming environment.

WHAT WE'RE LOOKING FOR:

  • Prior experience in sales, customer service, or administrative support preferred

  • Strong organizational and communication skills

  • Proficiency in CRM software (HubSpot experience is a plus)

  • Ability to multitask and manage multiple leads and inquiries

  • A proactive and resourceful attitude with attention to detail

  • Comfort with making sales calls and following up on leads
