Full-Time Operations Coordinator (Schaumburg, IL)

Position Title: Operations Coordinator (Full Time)

Reports to: Director of Sales

Location: 25N Coworking in Schaumburg, IL (The Amara Club—11th Floor)

The Role in A Nutshell: As Operations Coordinator at 25N Coworking's Amara Club, you'll be the friendly face and go-to person managing the operations of premier coworking club in Schaumburg. This dynamic role combines concierge-style hospitality with hands-on operational management, where you'll guide new members through their journey from initial tours to office move-in day– all while ensuring our facility runs smoothly. Working closely with the Member Experience Coordinator, you'll be the head-honcho of our day-to-day operations, maintaining our CRM systems, coordinating with facilities teams, and supporting your team’s member events that keep our community connected. Whether you're welcoming guests at the front desk, managing our space's logistics, or helping members feel at home, you'll play a crucial role in creating an exceptional coworking experience that members look forward to every day.

Schedule/Availability: Full-time, 40 hrs. per week. Shifts fall between 8:00 am and 5:00 pm (some exceptions apply).

WHAT WE'RE LOOKING FOR:

  • 3-5 years' experience in coworking or hospitality, with commercial real estate experience a plus

  • A proven track record of leading others with empathy towards common goals

  • Natural problem-solver who stays cool under pressure and adapts quickly to changing situations

  • Detail-oriented with strong organizational skills

  • Tech-savvy at intermediate to advanced levels (Microsoft and Google suite, Slack, Asana, HubSpot, Canva, etc.)

  • Excellent communicator both in writing and verbally, comfortable with phone and in-person interactions

  • Team player who takes initiative, solves problems, and pitches in where needed

  • Genuine passion for helping others succeed in a collaborative workspace environment

DUTIES + RESPONSIBILITIES:

HOSPITALITY + POINT OF CONTACT

  • Be the first and last point of contact for your building.

  • Cover the front desk during business hours and/or designated hours.

  • Greet and check-in members and guests.

  •  Track attendance of members and guests.

MEMBER MANAGEMENT

  • Lead all member move-in and move-out processes 

  • Manage mail services

  • Support your location's sales process, including: conduct and/or schedule tours for leads, anticipate the needs of leads and communicate 25N’s offerings accordingly, communicate with the sales team on lead information for timely follow-ups.

  • Enter new membership information and updates; maintain coworking software.

  • Collaborate with the accounting team for monthly member billing and payment accuracy.

  • Support the member experience coordinator with member retention efforts as needed.

BUILDING OPERATIONS + FACILITY MANAGEMENT

  • Collaborate with porter and building maintenance teams to ensure quality member experience (e.g. ensure the space is “magazine ready”, manage keycard activation, order supplies to make sure we are well stocked, etc).

  • Oversee member furniture requests and installations in collaboration with porter and in-house design team.

  • Conduct regular facilities walkthroughs with the design team, inputting work order requests as needed. 

TEAM PARTICIPATION

  • Collaborate with Member Experience Coordinator to ensure consistent desk coverage.

  • Collaborate with Member Experience coordinator to provide support for execution of member events as needed. 

  • Collaborate with our nationwide Community Management team via Slack and on monthly Community Manager calls, and bi-weekly all-team calls.

PHYSICAL REQUIREMENTS (these are essential for this role, but let us know if you have questions or have an accommodation request):

  • Lift and carry up to 30 lbs. 

  • Move furniture, equipment, etc. up to 100 lbs with assistance. For example, move a desk with the help of a dolly and/or a co-worker.  

  • Ascend and descend ladders and stairs.

  • Regularly access low/high spaces that may be at irregular angles, such as under a desk or high shelves.

  • Operate computer and office equipment, including coffee maker, laptop, keyboards, mouse, copy machine, AV meeting room equipment and similar. 

  • Be standing and walking for at least 1 hour at a time, 2-3x per day

  • Work in loud, chaotic environments and/or in crowds during community events. 

  • Maintain concentration and focus in a busy environment where people are coming and going.
